Return from Leave of Abscence, Maternity Leave, and Childcare Leave for Students of HSE University

Planned Return after the End of Leave

A student is admitted to studies from the date following the end date of leave specified in the directive. No application is required for a planned return from leave.

A notification is sent to the student’s corporate email ten calendar days before the end of the leave period, indicating the date from which the student must resume studies, the timetable for the first week, and any specific arrangements.

The notification includes a feedback form for the student to confirm that they are ready to resume studies once the leave period ends.

The student may request an extension of leave of abscence in the feedback form, explaining the reasons.

If, within ten calendar days after the end of leave, the student has not resumed their studies, including by not attending classes indicated in the individual curriculum, they are subject to expulsion for failure to master their degree programme diligently and follow the curriculum, from the day following the end of leave of abscence.

Early Return from Leave

To end leave early, a student must:

  1. Apply online through the centralised service using their student SmartPoint account, before the end of the period for which leave was granted.
  2. Receive a directive on re-admission to studies.
  3. Resume the degree programme by attending classes in accordance with their individual curriculum.

When a student applies for early return from leave, they may be admitted to studies no earlier than the start of the academic module following the module in which the student went on leave, provided that the actual duration of leave was at least two months.

  • If the decision on early return from leave is positive, a student on a fee-paying basis receives an addendum to their education agreement. Within three working days after the student has fulfilled the financial obligations under the addendum, the programme manager issues a directive on return from leave, which is signed by the Vice-Rector.
  • If a negative decision is made following consideration of the application for early return from leave, the programme manager explains the reasons for refusal and advises on possible options for continuing studies and the recommended timeframes for returning from leave.
  • For a student returning from leave to a state-funded place, the programme manager drafts a directive on return from leave within three working days after the individual curriculum has been agreed.

Arrangements for Re-admission for Students with Academic Debts

If, at the time leave was granted, a student had academic grounds for expulsion, they are dismissed at the initiative of HSE University upon the student’s return from leave, except in the following cases:

  • The student has been awarded pass grades for the courses with academic debts on the basis of additional learning outcomes (if any), in accordance with the procedure established at HSE University.

  • The student who previously studied on a state-funded place transfers to a fee-paying basis by signing an education agreement.

If, before taking leave of abscence, the student completed the courses (or other elements of the educational programme) but did not pass the interim assessment (did not sit the exam) and/or did not use all resit attempts, the following rules apply after the student returns from leave:

The main principle is a follows: the student completes the interim assessment and/or retakes during the nearest examination or retake period, without re-studying these courses or completing other programme elements, except in the following cases:

  • Passing grades for these subjects have already been credited on the basis of additional learning outcomes (if any), in accordance with the procedure established at HSE University;

  • The student has signed an education agreement on mastering a specific component of the given degree programme and has expressed a wish to re-study these courses or programme elements.

Individual Curriculum Formed at Re-admission to Studies

Upon return from leave of abscence, an individual curriculum is formed taking into account the following:

  • Courses for which elements of ongoing assessment have already taken place are not included in the individual curriculum. These subjects must be scheduled for future period planned in the individual curriculum.

  • A student may submit a request to the academic supervisor to include such courses in the current individual curriculum. In doing so, the student must confirm in their request that they:

    • understand that the instructor is not obliged to provide separate assignments or arrange retakes for missed ongoing assessment elements;

    • accept that missed elements may not be taken into account when the final grade is awarded, which will be determined based on the forms of assessment in which the student manages to participate.

 

If, in the current academic period, the educational programme contains no courses suitable for inclusion, the student:

  • uses the time until the start of the next academic period for self-study;

  • may take part in optional elements of practical training (if provided for by the curriculum).

Return from Leave and Transfer to Another Educational Programme

To return from leave with a subsequent transfer, a student must submit an application through the centralised service in SmartPoint student account.

The application for admission from leave and transfer is coordinated by the programme manager of the programme the student previously studied on.

In this case, return from leave with a subsequent transfer is possible only within the timeframes and subject to the conditions established by the Guidelines for Transfer.
